While you are building, a budget is a concept: editable, with saved versions for your own history. When the budget is agreed, you publish it.

Publish

  1. Open the budget and choose Publication.
  2. Check the totals and choose Publish.

A published budget is locked and creates a formal version record ("Publication v1"). It is what the production team and the forecast work from. To change a published budget, edit the concept and publish again: the new publication replaces the current one and the previous one moves to the Publication History. From that history you can restore an earlier version as the current publication.

Work budget

Production rarely runs exactly as budgeted. The work budget is a copy of the publication that production can edit, without touching the published version that was agreed with the client.

  • Create it from the publication screen with Create Work Budget. This is a one-time action for the budget.
  • The work budget is based on the current publication and is not updated automatically when you publish a new version. The screen tells you when the work budget is based on an older publication than the current one. Any changes must be made by hand.
  • Work budget lines are what the forecast measures against: cost to date, committed costs and estimate to complete are compared with the work budget. See Cost to date, committed costs and EFC.

Approving a budget (via its status) can create the work budget in the same step; removing the approval removes it again.

Release to planning

From the budget toolbar, Plan this budget turns the activities of the budget into the base planning of the production. You give them their days, people, items and locations in the planning. See How planning works.
