How we collect, use and store your personal information when you request a Production Health Check.

The Production Health Check is provided by Appsolutions, trading as Tubes ("Tubes", "we", "us" or "our").

2. What information do we collect?
When you request a Production Health Check, we collect:
- Your name
- Your business email address
- Your company name
- Your job title or role
- The type of production you work in
- Your typical production budget range
- The number of productions you typically manage at one time
- How you currently manage production finance
- Where your production finance process creates the most work
- Anything you choose to add in the optional comments field
We ask for this so that we can prepare for the session and make it relevant to your business.
Two things are worth being explicit about. Your email address is recorded as soon as you move on from the first screen, before you finish the questions, so that we can follow up if you do not complete them. And when you pick a time in the calendar, your answers are passed to that booking page so the session can be prepared, along with your name and email address, and any phone number or note you add there yourself.
We do not ask you for sensitive personal information as part of the Production Health Check.
3. How we use your information
We use the information you provide to:
- Arrange and administer your Production Health Check
- Contact you about your booking and send the confirmation and video meeting details
- Prepare for the session and understand your production finance requirements
- Conduct the session and follow up on it, including discussing findings and possible next steps
- Respond to questions or requests you send us
- Keep appropriate records of our business communications
Your details are stored in our own systems and are used to follow up on the Health Check. If you later agree to receive marketing communications from us, we may also use your contact details to send you Tubes news and product updates.
We do not sell your personal information and we do not provide it to third parties for their own marketing.
4. Our lawful basis for using your information
For the information you provide when requesting a Production Health Check, we rely on legitimate interests.
Our legitimate interests are responding to enquiries, arranging and providing the Health Check, understanding what prospective customers need, and developing our business.
Where we rely on consent for a particular activity, such as marketing emails, we will ask for that consent separately.
We will not use your information for purposes that are incompatible with the ones described here without telling you first and, where required, asking for your consent or identifying another lawful basis.
5. Who has access to your information?
Your information is handled by the Tubes team. We also use service providers who process it on our behalf:
- Railway (servers in Amsterdam, the Netherlands): hosting for our website, for the storage of your request, and for the customer relationship system in which your request is recorded
- Resend (United States): sending the confirmation and notification emails
- Google Workspace: the mailboxes we use to correspond with you
- 4Relations: our own customer relationship system, which we run ourselves on the hosting described above
The video meeting link for your session is sent to you with your confirmation. The provider of that meeting is named in the invitation.
Where these providers process personal information on our behalf, we require appropriate contractual and security arrangements.
6. International transfers
Our website and the systems that store your Health Check information run on servers in Amsterdam, the Netherlands, so your request itself stays inside the European Union.
Two things do leave it. The emails we send about your Health Check go through Resend, which is based in the United States, and our mailboxes run on Google Workspace. For those transfers we rely on the safeguards those providers offer in their data processing agreements, including the European Commission's standard contractual clauses.
7. How long do we keep your information?
We keep your personal information only for as long as we have a business or legal reason to do so.
For Production Health Check requests we keep your information for 24 months after our last meaningful contact with you, unless we need it longer for a business, legal or regulatory reason.
If you become a customer, the relevant information is kept for the duration of our business relationship and afterwards for as long as our contractual, legal or regulatory obligations require.
We review what we hold from time to time and delete or anonymise what we no longer need.
8. Your rights
Depending on the circumstances and the law that applies, you have the right to:
- Ask us for a copy of the information we hold about you
- Ask us to correct information that is wrong or incomplete
- Ask us to delete your information
- Ask us to restrict how we use it
- Object to certain uses of it
- Ask us to transfer certain information to another organisation
- Withdraw your consent where we rely on consent
You always have the right to object to the use of your personal information for direct marketing.

9. Marketing
Requesting a Production Health Check does not mean you have agreed to receive marketing from Tubes.
We may contact you about the Health Check itself or about an enquiry you made, including to follow up on the session and discuss next steps.
If we want to send you ongoing marketing communications, we will do that in line with data protection and electronic marketing law. You can object to direct marketing at any time.
10. Cookies and analytics
The Health Check pages do not use tracking or advertising cookies, and we do not run an analytics platform on them. Your browser stores nothing about you beyond what a page needs to work.
Elsewhere on this website, the pricing cards ask an external service (ipapi.co) which country you are in, based on your IP address, so that prices can be shown in your own currency. Your choice of currency is stored in your own browser.
11. Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access to the systems holding your information is limited to the people who need it, and those systems are password protected.
No method of transmitting or storing information can be guaranteed to be completely secure.
12. Automated decision-making
We do not use the information collected through the Production Health Check to make decisions about you based solely on automated processing.
The Health Check itself is a conversation with a person. There is no score and no automated assessment.
13. Complaints
If you have concerns about how we use your personal information, please contact us first at contact@tubes.media so that we can try to put it right.
You also have the right to complain to a data protection supervisory authority. Because we are based in the Netherlands, that is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl). If you are in the United Kingdom you may complain to the Information Commissioner's Office (ico.org.uk), and if you are elsewhere in the European Union you may complain to the authority in the country where you live or work.
14. Changes to this notice
We may update this notice to reflect changes to our services, our suppliers, the law, or the way we handle personal information. The current version is always on this page, with the date of the most recent update at the top.
