A new Tubes account opens with a short setup. Every step shows how long it takes, and everything can be changed later with one exception, which is explained below.

The steps

  1. Company profile: name, email address and postal address. These appear on quotations and other documents.
  2. Logo & avatar: upload your logo so documents and the workspace are recognisable.
  3. Appearance: your own style for the workspace.
  4. Settings: number format and default currency. See the warning below.
  5. Administration: the budget process and roles for your account. This is where the chart of cost categories and cost types comes from.
  6. Xero (integration): connect your accounting system and map cost categories to ledger accounts. You can skip this and do it later. See Connect Xero.
  7. Budget import: upload a budget export from Movie Magic Budgeting so your cost categories and budget lines are imported automatically. Also optional. See Import a Movie Magic budget.
  8. Payment: choose your plan.
  9. Ready!

Note: The number format and default currency can only be changed as long as no budget or transaction exists in the account. After that they are locked, because switching would change every amount in the account. Decide this before you build your first budget.

The administration format

The administration format (how your cost structure is organised) is chosen during signup and cannot be changed afterwards. Switching would reload the whole cost structure and remove the budget groups and cost types that already exist.

Returning to setup

The same settings are available later in the workspace setup panel: Logo & avatar, Team, People, Appearance, Settings, Administration and Slack. Open it from your account menu.
